Privacy Policy

Found First Business Solutions (ABN 52 670 711 389) (“Found First”, “we”, “us”, “our”) respects your privacy and handles personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what we collect, why, how we use and protect it, and how you can access or correct it.

1. What personal information we collect

We may collect: your name, business name and ABN, address, email, phone and mobile numbers, job title/role, billing details, and information you provide when you contact us or sign up. In delivering our services we may also handle information about your own customers , for example names and phone numbers from calls handled by an AI receptionist, and call recordings or transcripts, which we process on your behalf and under your instructions.

2. How we collect it

Directly from you, over the phone, by email, or through our signup and web forms, and with your authority, from the platforms we manage for you (such as your Google Business Profile and website). Where we handle your customers’ information, we collect it in the course of providing the services you have engaged us to deliver.

3. Why we use it

To provide, manage and improve our services; to set up and manage your Google Business Profile, website and listings; to run an AI receptionist and send booking or callback messages on your behalf; to bill you and keep records; to respond to your enquiries; and to send you service and account communications. We only use information for the purposes it was collected, related purposes you would reasonably expect, or as permitted by law.

4. Who we share it with

We do not sell your personal information. We share it only as needed to deliver the services, with trusted providers including: Google (Business Profile and search), our email provider (Brevo), our telephony and SMS providers (such as Twilio), and our AI voice provider (such as Retell). We may also disclose information where required or authorised by law.

5. Google user data

Where you connect your Google Business Profile to Found First, you authorise us through Google’s own consent screen. This section explains exactly what that allows, and it applies in addition to the rest of this policy.

What we access. Using the business.manage scope, we read your Business Profile’s account and location details and its performance metrics: calls from your profile, website clicks, direction requests, how often you were shown on Google, and messages. We read your review count and rating. We do not read your Gmail, Drive, contacts, calendar or any other Google service.

Why we use it. For one purpose only: to produce the monthly performance report we provide to you, so the numbers in it come from Google rather than from us. We never enter those figures by hand.

What we do not do. We do not sell, rent or trade Google user data. We do not transfer it to third parties except where you have asked us to, or where the law requires it. We do not use it for advertising, for building profiles, or to train artificial intelligence or machine learning models. We do not use it for any purpose other than your own reporting.

How it is stored. Metrics are stored as a monthly snapshot in our own database on a secured server, so your report can show change over time. Access tokens are stored securely and used only to fetch your metrics. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

How to disconnect. You can revoke our access at any time from your Google Account at myaccount.google.com/permissions, or by asking us and we will disconnect it for you. Once revoked we stop collecting new metrics immediately. Ask us to delete the metrics already collected and we will remove them.

6. Overseas disclosure

Some of our providers store or process data on servers outside Australia (for example in the United States or European Union). Where this occurs we take reasonable steps to ensure your information is handled consistently with the APPs.

7. Call recordings & transcripts

Where we provide call-handling services, calls may be recorded and transcribed to deliver and improve the service. Callers are notified as required. Recordings and transcripts may contain personal information; we store them securely, restrict access, and retain them only as long as needed for the service or as required by law.

8. Storage & security

We store information in secured systems and take reasonable steps to protect it from misuse, loss, and unauthorised access, modification or disclosure. No system is completely secure; if a data breach likely to cause serious harm occurs, we will act in line with the Notifiable Data Breaches scheme.

9. Direct marketing

We may send you information about our services. Every marketing message includes an easy way to opt out, and we will stop on request. We do not use your customers’ information for our own marketing.

10. Access & correction

You can ask to access the personal information we hold about you, or to correct it if it is inaccurate, out of date or incomplete. Contact us using the details below and we will respond within a reasonable time. We may need to verify your identity first.

11. Cookies & website

Our website may use cookies and analytics to understand usage and improve the site. You can disable cookies in your browser, though some features may not work as intended.

12. Complaints

If you have a privacy concern, contact us first and we will work to resolve it. If you are not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

13. Changes to this policy

We may update this policy from time to time. The current version is always available at this page, with the “last updated” date above.
